Visio Online Now added to most Office 365 plans
Being able to work from anywhere, any time is paramount for businesses and organizations throughout the world. Imagine, being able to view Visio diagrams in high fidelity from almost any device using your preferred web browser. Would that enhance your workflow? If so, prepare to be enhanced!
On Wednesday March 1st, Microsoft announced the availability of Visio Online for most Office 365 plans. Visio Online is available for all Office 365 commercial subscription plans, which include Office Online.
How to access Visio Online
Once you’ve signed into your Office 365 account, start by uploading a Visio file (.vsdx, .vsd, and .vsdm formats) to either a document library in SharePoint Online or OneDrive for Business. Once the Visio file is uploaded, and you click on the file, it will open in a new browser tab using Visio Online.
Basic Visio Online tasks
Zoom with the slider: You can zoom in and out of the drawing by using the slider in the lower-right corner.
Pan and zoom: Bring up the Pan and Zoom window by clicking on the Pan and Zoom icon. If you don’t see a blue box, drag inside the Pan & Zoom window to create a blue box. The blue box indicates the region of the page that is shown in the drawing window. You can move and draw the blue box to pan and zoom.
View shape data:
- Click a shape.
- Then click Shape Info to see its metadata.
Access hyperlinks: If a shape has hyperlinks, you’ll see a link icon on the top right of the shape. You can directly access the hyperlinks by clicking on the shape. Hyperlinks are also available in the Shape Info pane.
Find: Quickly search for every occurrence of the word, number, or phrase on that page by clicking the ellipses button (…), and selecting Find (or press Ctrl+F). Results appear next to your diagram. Visio will search in Shape names, Shape data, Shape text and User-defined cells. Clicking on a search result navigates you directly to the relevant shape.
Go to other pages: Navigate to other pages in the file by clicking the tabs in the lover left side.
Share with others: Since your drawings are saved online, you can share them by sending a link instead of an email attachment. People can view them in any web browser, regardless if they have the Visio desktop application or not. Just click Share in the upper right.
View or add comments: Click on the ellipses button (…), and then click on Comments to collaborate on Visio diagrams with colleagues and view comments on the page. You can also add your own comments by using the New Comments button.
Note: You cannot edit a diagram in Visio Online, you’ll need to use Visio 2016 or Visio 2013 desktop applications to edit a Visio diagram.
Embed a Visio diagram in a SharePoint page
To embed a Visio Diagram in to a SharePoint page you’ll need to:
- Create a new SharePoint page where you wish to embed the Visio diagram. Office 365 users can do this from your team site pages.
- Click on the + sign, and then choose Document.
- Browse to a Visio file that you wish to embed, and then choose Add document.
