Six months ago, Microsoft 365 Copilot arrived with a lot of promises. AI would summarize your meetings, draft your emails, build your presentations, and generally make work faster across the board. For organizations already running on Microsoft 365, it sounded like a natural next step.
Now the honeymoon is over. So how does it actually hold up? For many organizations, including ours, the answer is well — but probably not in the magical, overnight-transformation way some people expected.
The Short Answer: It Depends on the Organization
One of the clearest things organizations have learned is that Copilot works best in environments that were already relatively organized.
If your Microsoft 365 environment has:
- Clean permissions
- Well-structured SharePoint sites
- Consistent collaboration habits
- Reasonably mature governance practices
…then Copilot can become genuinely useful surprisingly quickly.
But if the environment is messy, overloaded with old data, or filled with inconsistent file structures and excessive access permissions, AI often exposes those problems instead of solving them.
In many cases, Copilot has acted less like a miracle productivity tool and more like a spotlight shining on existing operational issues.
Where Organizations Are Seeing Real Value
That said, many organizations are seeing meaningful productivity improvements from Copilot, particularly when it comes to reducing repetitive administrative work. Tasks like summarizing Teams meetings, drafting follow-up emails, organizing notes, creating first-draft presentations, and quickly locating information across documents are becoming noticeably faster.
Leadership teams have also found value in how quickly Copilot can surface institutional knowledge across Teams, Outlook, SharePoint, and documents. Information that once required digging through folders and conversations can often be pulled together in seconds.
At CGNET, meeting and document summaries have probably become the most consistently useful features so far. Copilot has been especially helpful after long internal discussions or client calls where staff need to quickly capture action items or revisit decisions later. Several team members also use it regularly to help draft emails — not necessarily to send untouched, but to create a strong starting point that can then be refined and personalized.
The Productivity Gains Are Uneven
One thing organizations discovered fairly quickly is that not every employee benefits equally from Copilot. At CGNET, we’ve seen this play out firsthand. Some of our staff started using Copilot almost immediately after licensing became available, while others only recently received access. Adoption has not been perfectly uniform, and honestly, that mirrors what we’re seeing across many client organizations as well.
Heavy Microsoft 365 users often see the biggest improvements. Executives, project managers, operations teams, communications staff, and administrative personnel tend to use it regularly because so much of their work revolves around meetings, documents, email, and collaboration platforms.
On the other hand, some employees may only use it occasionally.
That has created a growing conversation around licensing strategy. At current pricing levels, many organizations are questioning whether every employee truly needs a Copilot license. In many cases, a targeted rollout is proving more practical than organization-wide deployment.
The Biggest Surprise: Permissions and Governance
One of the most important lessons from the first six months had very little to do with AI quality itself.
It had to do with data exposure.
Copilot only accesses information users already have permission to view. The problem is that many organizations spent years accumulating messy permissions structures without realizing how exposed some data had become.
Once Copilot entered the environment, organizations suddenly became much more aware of:
- Old SharePoint sites still accessible to large groups
- Sensitive HR or finance folders with broad permissions
- Forgotten Teams channels containing confidential information
- Inconsistent document retention practices
- Poorly managed file ownership
Before AI, these issues often sat quietly in the background. Copilot made them much more visible.
Ironically, for some organizations, Copilot became one of the best governance wake-up calls they’ve had in years.
AI Still Requires Human Judgment
Another reality organizations learned quickly is that Copilot sounds extremely confident — even when it is incomplete or occasionally wrong. That means employees still need to review outputs carefully, especially when dealing with financial analysis, policy work, communications, legal language, or grantmaking decisions.
At CGNET, we’ve found Copilot works best as a productivity assistant, not an autopilot system. Staff still review summaries, refine drafts, and validate important details. The tool saves time, but human judgment remains essential. Like us, organizations seeing the best long-term results are treating Copilot as an assistant, not an autonomous employee.
It helps accelerate work. It helps organize information. It helps reduce administrative overhead. But human oversight still matters enormously.
The Training Gap
Licensing Copilot is the easy part. Getting staff to actually use it well is another matter.
Many organizations rolled out Copilot with little more than a vendor demo and a few announcement emails — then wondered why adoption plateaued after the initial excitement faded. The employees seeing the strongest results weren’t necessarily the most technical. They were the ones who took time to develop real workflows around the tool.
At CGNET, we’ve watched this play out on our own team. Staff who started early didn’t just learn features — they learned which tasks were actually worth handing to Copilot and which ones weren’t. Meeting summaries, email drafts, and quick document searches became routine. More complex tasks — anything requiring nuanced judgment or sensitive data — stayed firmly in human hands.
That distinction matters. The biggest training mistake organizations make is treating Copilot like a search engine with a chat interface. It’s more useful than that, but only once people understand how to work with it rather than just query it.
The Bottom line
We are cautiously optimistic. CGNET found benefits from Copilot and we believe others will too. Not because Copilot transformed the workplace overnight, but because it has started creating measurable efficiencies in certain kinds of work. It reduces time spent organizing information, drafting content, summarizing meetings, and handling repetitive administrative tasks. Together with tools like ChatGPT, Claude, and Perplexity, Copilot has become part of a larger transformation in how we get our work done here at CGNET.
At the same time, it has also forced many organizations to confront deeper operational issues involving governance, permissions, security, and data management.
And honestly, that may end up being one of the biggest long-term benefits.
The Bigger Picture
Six months into enterprise AI adoption, one thing is becoming increasingly clear: The organizations getting the most value from AI are usually the organizations that already manage technology thoughtfully.
Copilot works best when paired with:
- Strong governance
- Clean permissions structures
- Good collaboration habits
- Staff training
- Realistic expectations
The technology itself is impressive. But successful AI adoption still depends heavily on operational discipline, leadership alignment, and organizational readiness.
In other words, AI is not replacing good IT management. It’s making it more important than ever.
